This is a work in progress. All members may send RJ their suggestions relative to this.
When members contact you. please be friendly and courteous. Answer their questions while referring any you do not have an answer to RJ. If a member asks about an event try to encourage them to attend. It is not unusual to have 10 Yes RSVPs and have only one of them show up. When this happens do not post any excuses or blame any factors for this happening. It just happens. Do not be upset by RSVPs of No. This is the only effective way to shut off the Meetup reminders for an event. When having an event indoors, if possible have members meet inside the venue. This decreases the drive by lurkers who want to see who is there before they park their cars. Years ago I had an event at the Northlandz model railroad display and outdoor train ride. My directions were to meet near the front door. While standing at the door approximately 30 cars drove by with men and women looking to see who was waiting with me. Since I was by myself all of them left. Of course here we have Yes RSVPs. Try to be flexible and do not take all of this too seriously. Our aim here is to enjoy life; not to make it more stressful.
Always have safety in the back of mind. This includes when scheduling events and meeting locations.
Schedule an Event/Edit Page:
Event Title: When possible an event's title should include the date and time.
Description: A description should include the meeting time. If possible it should include the approximate time it will end. Following the event you might include an optional social time.
RJ will remove and replace most conjunctions and ampere signs (&). He also tends to fix incomplete sentences and spelling (thank you to Firefox for having a spell checker). As a tweaker, RJ might also edit your listing. Please do not be offended by his doing this. After all he pays to maintain this group, and he tends to have his own presentation "style".
Automatically Repeat - Default is No
Location: Where is it? Enter a location. If you need help doing this, contact RJ.
How will they find you: Look for a red Meetup sign. It is better to be self-conscious about having a small red Meetup sign (at least 5x11 - landscape printed) than to have members unable to find you.
Charging for Meetup: If there is a charge this must be approved by RJ.
RSVP Settings: If Meetup puts them back as an option, they usually should include Maybe. If there is No attendee limit, make "Allow members to RSVP up to 99 guests."
When: is Now and usually until the beginning of the event. Given the unpredictability of the weather and schedules, I do not recommend shutting off RSVPs ahead of the event. Of course if reservations are required, this might not be possible.
To Decrease Meetup SPAM:
Reminders: Turn off reminders by Unchecking "Email members automatic reminders".
Message Board Do not add to Message Board - this will trigger umpteen Meetup reminder e-mails.
No! Tweater, Facebook, etc. Adding an event to public pages allows anyone in the world to know when you and all of the attendees will be away from the place they live in. Do not publicize this!
=====================
Attendance at Event
=====================
It is always a good idea to have attendees sign in with their name, Group member name, and e-mail address. If someone shows up who is not a member or is a guest you may invite them to join. Once they have joined they will be able to rate the event and upload photos to its photo album (see below).
======================
RSVPs - Group Event Sharing
======================
When an event is shared with another group and/or groups, update the Yes RSVPs to indicate how many are coming from other groups. Do this by changing your RSVP to include the total number from the other groups as your guests. Add a comment indicating that is the number from other groups.
====================
After an Event:
====================
Number of Attendees and
Rating Event
====================
Following an event, change the number of attendees to match the number who attended. If members showed up who did not have a Yes RSVP, you should add them. This will allow them to rate the event and upload photos to it photo album. If a person showed up who was not a member and they have joined, you should add them to the event. To do this might require an increase in the number of attendees. Never rate an event lower than 4. Event ratings have an effect on the way Meetup ranks and promotes groups. There is nothing wrong with rating your event 5 stars. This is a rating for the group and not a self-serving pat on the back. This is true even if you were the only one at the event.
